Terms of Service

These Terms of Service ("Terms") are an agreement between you (the "Customer", "you") and DigiGroup Pty Ltd (ACN 685 208 226) ("DigiGroup", "we", "us", "our"), the provider of PaperFlow. By creating an account, starting a subscription, or ticking "I agree to the Terms of Service" at checkout, you agree to be bound by these Terms. If you are agreeing on behalf of a business, you confirm you are authorised to bind that business. If you do not agree, do not use PaperFlow. These Terms take effect on 20 June 2026.
1. The Service
PaperFlow is a cloud-based fire safety inspection and field service management platform. It provides tools including AS1851 compliance workflows, digital inspection forms, defect tracking and quoting, an asset register, job scheduling and dispatch, property reporting, a client portal, and data export.
Subject to these Terms and to payment of the applicable fees, we grant you a non-exclusive, non-transferable, revocable licence to access and use PaperFlow for your internal business purposes during your subscription. We may improve, change, or add to the service over time.
2. Your Account
To use PaperFlow you must create an account. You agree to:
- provide accurate and current account and billing information, and keep it up to date;
- keep your login credentials secure and not share them outside your authorised users;
- be responsible for all activity that occurs under your account and your users' accounts;
- notify us promptly at info@paperflow.com.au if you believe your account has been accessed without authorisation.
Your subscription is sized by the number of people on your team (see Section 4). You are responsible for ensuring your plan matches your actual team size, and for moving to the right plan as your team changes (see Section 4.9).
3. Acceptable Use
You agree not to:
- use PaperFlow for any unlawful purpose or in breach of any applicable law or regulation;
- copy, resell, sublicense, or make PaperFlow available to any third party except your authorised users;
- reverse engineer, decompile, or attempt to extract the source code of the platform, except to the extent this restriction is prohibited by law;
- interfere with, disrupt, or attempt to gain unauthorised access to the service, other accounts, or our systems;
- upload material that is unlawful, infringing, or malicious, or that you do not have the right to upload.
We may suspend access where we reasonably believe these Terms have been breached or where necessary to protect the service or other customers. Except where the issue is urgent, unlawful, or a security risk, we will give you notice and a reasonable opportunity to fix the problem before suspending or terminating your access (see Section 11).
4. Plans, Pricing & Billing
4.1 Plans
PaperFlow is offered on subscription plans sized by team size:
- Tier 1 — 1 to 3 people
- Tier 2 — 4 to 10 people
- Tier 3 — 11 to 20 people
Teams of 21 or more people are priced individually — contact us at info@paperflow.com.au. Every plan includes the full PaperFlow feature set; the plan you need depends only on your team size. Current prices for each plan are shown on our pricing page and at checkout. All prices are in Australian dollars (AUD).
4.2 Storage Pack add-on
Every plan includes 10 GB of storage for your files and images — the same across all tiers. If you need more, you can add an optional Storage Pack: each adds 5 GB, and you can stack as many as you need. Storage Packs are billed in addition to your subscription on the same billing cycle, at the price shown at the time of purchase, and they renew and cancel on the same basis as your subscription. If you cancel, your Storage Packs follow the same refund rule as the plan they are attached to (see Section 5).
4.3 Billing cycle and auto-renewal
You may choose to be billed monthly or annually. Annual billing is offered at a discount to the monthly rate, as shown on our pricing page. Your subscription automatically renews at the end of each billing period (each month for monthly plans, each year for annual plans) at the then-current price for your plan (subject to the price-change notice in Section 4.8 and any Foundation Customer price guarantee), until you cancel. By subscribing, you authorise us and our payment processor to charge your payment method for each renewal until cancellation.
4.4 Payment processing
Payments are processed securely by Stripe. When you subscribe, your card details are entered with and stored by Stripe — PaperFlow does not store your full card details. Your use of Stripe to make payments is also subject to Stripe's terms and privacy policy. How we handle the limited billing information we do hold is described in our Privacy Policy.
4.5 Failed payments
If a renewal payment fails, Stripe will automatically retry the charge over a short period. If those retries are unsuccessful, your subscription will be cancelled and access to PaperFlow will be revoked. To resume, you can re-subscribe via a new payment link; if you re-subscribe within 30 days, we will restore your previous plan and any Foundation Customer price guarantee. We keep your data for a limited period after cancellation so you can re-subscribe or export it — see Sections 5 and 6. We recommend keeping your payment details current to avoid interruption.
4.6 GST and taxes
DigiGroup Pty Ltd is not currently registered for GST, so no GST is added to the prices shown — the price you see is the price you pay. If we become registered for GST in the future, GST may be added to your subscription; we will show it separately and give you reasonable notice before it applies. You are responsible for any other taxes or duties associated with your subscription, other than taxes on our income.
4.7 Promotions and discounts
From time to time we may offer promotional pricing, coupons, or discounts. Unless stated otherwise, any discount applies only for the period specified at the time of the offer. When a promotion or coupon expires, your price reverts to the standard price for your plan at your next renewal.
4.8 Price changes
We may change our prices from time to time. We will give you at least 30 days' notice by email before a price change takes effect, so you can decide whether to continue. The new price applies from your next renewal after the notice period. Foundation Customers keep their plan price for a guaranteed 24 months from sign-up, with no increases during that period; after that, the standard price-change terms above apply.
4.9 Changing your plan (team size)
Your plan is based on your team size, so if your team grows or shrinks you simply move to the plan for your new size — there is no penalty and no re-signing. Upgrades take effect straight away, and we charge the difference, pro-rated for the rest of your current billing period; on an annual plan we adjust the rate for the remaining months of your term. Downgrades take effect at your next renewal. If your team reaches 21 or more people, your account moves to custom pricing by arrangement (see Section 4.1).
4.10 Billing questions and disputes
If you have a question or concern about a charge, please contact us first at info@paperflow.com.au. We will look into it promptly — usually within a few business days — and work with you to put it right before you raise a chargeback with your bank. Raising a dispute does not remove your obligation to pay amounts that are properly due, and we may suspend access for amounts that remain unpaid after we have tried to resolve the issue with you.
5. Cancellation & Refunds
You can cancel at any time — there is no notice period, no exit fee, and no re-signing. How cancellation works depends on how you are billed:
- Monthly plans: your cancellation takes effect at the end of the current paid month. You keep access until then, and we do not refund that final month.
- Annual plans: you can cancel at any time and we refund the unused months remaining in your annual term, pro-rated back to your card. You keep access until your cancellation takes effect.
Except as set out above or as required by law (including the Australian Consumer Law), fees already paid are non-refundable. Nothing in this section limits any rights you have that cannot be excluded under the Australian Consumer Law (see Section 9).
After cancellation — including a cancellation caused by a failed payment (see Section 4.5) — we keep your data for 30 days so you can re-subscribe or export it. After that, we may delete it (see Section 6).
6. Your Data & Privacy
As between you and us, you own the data you put into PaperFlow (your inspection records, assets, clients, and reports). You grant us the licence needed to host, process, and back up that data so we can provide the service to you.
We handle personal information in accordance with our Privacy Policy and the Privacy Act 1988 (Cth). You can export your data at any time while your subscription is active. After your subscription ends — including if it ends because a payment failed (see Section 4.5) — we keep your data for 30 days so you can re-subscribe or export it, after which we may delete it. Please export anything you wish to keep within that period.
7. Intellectual Property
PaperFlow, including its software, design, content, and trade marks, is owned by DigiGroup Pty Ltd and its licensors. These Terms grant you a licence to use the service — they do not transfer any ownership of the platform to you. You retain ownership of your own data as set out in Section 6.
8. Third-Party Services
PaperFlow relies on trusted third-party providers to operate, including Stripe (payment processing) and Google Firebase (hosting and data storage). Your use of the service may be subject to those providers' terms. We are not responsible for the acts or omissions of third-party providers beyond our reasonable control, but we will use reasonable care in selecting them.
9. Australian Consumer Law & Warranties
Our services come with guarantees that cannot be excluded under the Australian Consumer Law. Nothing in these Terms excludes, restricts, or modifies any right or remedy, or any guarantee, warranty, or other term implied or imposed by law that cannot lawfully be excluded or limited.
Subject to those non-excludable rights, PaperFlow is provided on an "as is" and "as available" basis. We do not warrant that the service will be uninterrupted or error-free, and we aim — but do not guarantee — to keep the service available at all times.
10. Limitation of Liability
To the extent permitted by law, and subject to Section 9:
- we are not liable for any indirect, incidental, special, or consequential loss, or for any loss of profit, revenue, or data; and
- our total liability to you arising out of or in connection with PaperFlow and these Terms is limited to the amount you paid us for the subscription in the 12 months before the event giving rise to the liability.
Where our liability cannot be excluded but can be limited under the Australian Consumer Law, our liability is limited (at our option) to re-supplying the service or paying the cost of having it re-supplied.
Nothing in this section reduces our responsibilities under Section 6 to host and back up your data and to let you export it. The exclusion of liability for loss of data is directed at loss arising from your own failure to export your data, not loss of data we are holding for you.
11. Termination
You may cancel your subscription at any time as described in Section 5. We may suspend or terminate your access if you materially breach these Terms (including non-payment) or use the service unlawfully. Except where your breach is serious, unlawful, or a security risk, we will first give you notice and a reasonable opportunity to fix the problem. If we end your subscription for a reason other than your serious or unlawful conduct, we will refund the unused portion of any fees you have pre-paid, on the same basis as Section 5. We may also stop offering the service with reasonable notice, in which case we will give you the opportunity to export your data. On termination, your right to use PaperFlow ends and any fees outstanding become payable.
12. Changes to These Terms
We may update these Terms from time to time — for example to reflect changes to the service, or for legal, security, or operational reasons. For any change that materially affects your rights or your subscription, we will give you at least 30 days' notice by email before it takes effect, and you may cancel before then if you do not accept the change (see Section 5). We will post the updated Terms on this page with a new "last updated" date. Minor changes, or changes we are required to make by law, may take effect when posted. If you continue to use PaperFlow after a change takes effect, you accept the updated Terms.
13. Governing Law
These Terms are governed by the laws of Western Australia, Australia. You and we submit to the non-exclusive jurisdiction of the courts of Western Australia and the courts able to hear appeals from them.
14. General
- These Terms, together with our Privacy Policy and any plan details shown at checkout, are the entire agreement between you and us about PaperFlow.
- If any part of these Terms is found to be unenforceable, the rest continues to apply.
- You may not transfer your rights under these Terms without our consent. We may assign our rights and obligations, for example as part of a sale or restructure of our business.
- A delay in enforcing these Terms is not a waiver of our rights.
- Neither party is liable for failure to perform caused by events beyond its reasonable control.
